Eight rules my AI receptionist follows before it answers your customers

The fastest way to lose a customer is to have a machine promise something you cannot deliver. So before I let an AI receptionist answer a single call for a client, it gets a short list of rules. Here they are, in plain words, so you know what you are putting on your phone line.

1. It says it is an AI, in the first sentence

“Thanks for calling Northwest Comfort Heating, this is their AI assistant. I can book a visit or take a message for the team. What’s going on today?” No fake names, no fake breathing. People are fine with it when it is honest and useful. They are not fine with being fooled.

2. It only says what you told it

Your hours, your service area, the work you do and do not take, your after-hours policy. If a caller asks something outside that list, it says so and takes a message. It does not guess. A confident wrong answer is worse than “I’ll have Mark call you back on that.”

3. No prices unless you wrote them down

If you give it a service-call fee, it can quote that fee and nothing else. If you did not, it says pricing depends on the job and a tech will confirm. I have heard too many stories of a front desk quoting a number the owner then has to eat.

4. No arrival times you did not approve

It offers the windows you gave it, from the calendar you gave it access to. It never says “someone will be there in an hour” on its own.

5. Emergencies go to a human

You choose the words. Gas smell, water through the ceiling, no heat with a baby in the house. When it hears them, it stops booking and rings your cell or your on-call tech. If nobody picks up, it tells the caller exactly that and gives them the next step you chose, which for a gas smell is “hang up and call the gas company’s emergency line.”

6. It never texts your callers marketing

A confirmation of the appointment they just booked, yes. Review requests, promotions, “we miss you” messages, no. Not from this line.

7. Every call is recorded and you can hear all of them

You get a text and an email summary after each call, and the recording is in your dashboard. For the first two weeks I listen too, and I change the script the same day something sounds off.

8. You can turn it off in one step

Cancel forwarding on your phone and the line goes quiet. Cancel the service any month from the link on your receipt. No contract, no argument.

If those rules sound like how you would want your own front desk to behave, the free 14-day trial is the way to find out whether it earns its $13 a day on your phone. Want to hear it first? Call the demo line at 541-612-5262.
